The Exhibitor agrees not to sublet, assign or sell any part of the exhibit area to any other manufacturer, distributor, company or person, without express written consent of the Royal Agricultural Winter Fair.
Only those items listed in the License agreement may be displayed and/or sold.
Soliciting
Soliciting of business is strictly prohibited in the aisles, in other Exhibitor's booths or at any building entrance/exit. Exhibitors are not permitted to solicit patrons while the patron is standing in the licensed area of another Exhibitor and/or conducting business or speaking with another Exhibitor. All business must be conducted within the confines of the allocated booth space. Exhibitors must conduct their business in a neat and orderly manner and in such a way as not to be in conflict with other Exhibitors. Sales people and demonstrators are prohibited from operating in the aisles.
Contests & Promotions
Contests and promotions conducted by Exhibitors in conjunction with their displays shall be free of any obligation to the winner. Exhibitors wishing to conduct a contest/promotion must inform the RAWF in advance. If an entry/ballot form is to be used, the RAWF must review and approve the ballot before it is printed. Awards which are conditional upon the placing of an order, or which represent a credit to be applied as part payment of any order, are not permitted. Entry/ballot forms may not be combined as Mailing List information.
Under no circumstances are the names of the entrants to be distributed. All entry forms/ballots completed by patrons of The Royal must be destroyed upon completion of The Royal and not used for future promotions/contact by the Exhibitors.
Insurance
The Exhibitor shall procure and maintain during the period of the License Agreement, a comprehensive general liability insurance policy with a combined single limit of not less than Two Million ($2,000,000) for bodily injury, death and property damage. The Exhibitor shall include the RAWF as an additional insured on such policy. A copy of the Insurance Certificate must be forwarded to the RAWF. The Exhibitor will not be permitted to move-in and/or set up without proper insurance coverage and evidence thereof.
Character of the Exhibit
- All banners and/or signage must be provided by the exhibitor.
- All signs, displays, advertising materials, promotional items, decorations and/or any other part of the exhibit must remain inside the perimeter of the booth in order to ensure that adjacent/neighboring booths, aisles and patrons are not inconvenienced or infringed upon.
- Signage must be professional in nature. Hand written signage is strictly prohibited.
- Maximum height of the back wall/drape/display is limited to 8 ft.
- Exhibit booth must display signage clearly indicating the name of the company.
- Exhibit area must contain a floor covering.
- All mechanical devices/machines in operation must be located well inside the booth and equipped with industry approved safeguards in order to ensure the safety of both the operator and visitors.
- Exhibitors must post a sign, which is easily visible to the public, outlining their policy regarding refunds and product returns.
Dismantling of displays
- No merchandise, in whole or in part, may be removed from the booth prior to the official closing of The Royal Agricultural Winter Fair.
- No booth, in whole or in part, may be removed or dismantled prior to the official closing of The Royal Agricultural Winter Fair.
- General dismantling shall commence approximately 2 hours after the official closing of The Royal Agricultural Winter Fair.
- Exhibitors who fail to comply will not be offered commercial space for the following year.
Exhibitor
The Exhibitor agrees to abide by all Terms & Conditions, Rules & Regulations and General Information adopted by the RAWF. The Exhibitor agrees that the RAWF shall have the right to adopt and/or amend any new Rule & Regulation deemed necessary prior to, and during the Royal.
Any violation of the Terms, Conditions, Rules & Regulations and General Information will give the RAWF the right to terminate the License Agreement and remove the Exhibitor from the Fair resulting in the Exhibitor forfeiting all payments made to date.
